Deposit is non-refundable regardless of cancellation date. Covers your initial design and consultation time.
Refund Windows
90+ days out: 50% refund on balance paid. 60 days: 25%. 30 days: 10%. Inside 30 days: no refund.
Reschedule Policy
Single-reschedule allowed within 12 months for no fee. Multiple reschedules trigger a $250 re-planning fee.
Force Majeure
Pandemics, natural disasters, venue closures trigger a reschedule (not a refund). This clause saved many florists in 2020.
Order-Committed Clause
Once wholesale flowers are ordered (~10 days out), that portion of the balance is non-refundable even if the event happens.
When to use this template
Embed in every wedding contract. Never handle cancellations verbally — point the client back to this section.
Pro tips
Always be willing to reschedule, even outside your standard window. Rescheduling keeps the relationship; cancellation burns it.
Document every conversation about cancellation in writing (email) so nothing comes down to 'your word against theirs'.
When a client cancels, send the deposit retention notice professionally and move on — don't negotiate emotionally.
